Conference and Trade Show Makeup in Ho Chi Minh City

Conferences are brutal on a face. Fluorescent hall lighting, a stage wash that is too warm, a photographer working the front row, and a speaker who has been in air conditioning since six in the morning.

This page is for conference producers, PR agencies and in-house marketing teams running an event at SECC, GEM Center, White Palace, a hotel ballroom or an exhibition hall in Ho Chi Minh City.

Three groups, three different jobs

Speakers and panellists. The priority. A keynote is photographed, filmed and clipped for social. Allow 45 to 60 minutes per person for a camera-ready look, more if the speaker also appears at the gala dinner that evening.

Booth and hostess staff. Usually six to twelve people who need one consistent look rather than twelve personal interpretations. This is where a team booking earns its money: the row reads as one brand in every photo.

Award recipients and VIPs. Often the same people as the speakers, but on stage in the evening under different light. That is a second look, not a touch-up.

Fitting makeup around a session schedule

A conference schedule does not bend. The makeup has to.

Send the agenda, not just the date. Kay works backwards from each speaker's session time rather than running one block in the morning and hoping the base survives until the 4pm panel. For a two-day event, that usually means an early call for the opening keynote, then an artist on site through the day for touch-ups between sessions.

KINKAY can put up to four makeup artists and two hair stylists on one booking, so a morning with three parallel tracks does not turn into a queue.

Practical asks for the venue: a room with a table, a power socket and, if possible, a window. Not a corner of the ballroom under the stage wash, where nobody can judge a base.

Prices

No cap on headcount and no minimum. A booth team of ten is ten times 1,800,000. Hair is included in every price and is not sold on its own. Travel inside Ho Chi Minh City is in the price; outside the city is quoted as one total before you confirm.

Headshots at the booth

If you are already paying for a photographer on stand, a headshot station is the cheapest content you will produce all year. Executives who would never book a studio session will sit for ten minutes at their own conference.

What to send when you book

1. The dates, the venue and the agenda.
2. How many people, split into speakers, booth staff and VIPs, and split by men and women.
3. Session times for anyone going on stage.
4. Whether there is an evening gala and who attends it.
5. One on-site contact and the room you can give the team.

Booking and paperwork

A 30% deposit by bank transfer holds the dates, and the balance is paid at the end.

Kay works as an independent artist rather than a registered company, so there is no VAT invoice and no receipt. The Booking Confirmation is the document: a reference number, the service, the dates and the amount, reissued marked as paid once you have settled. Agencies billing a client onward should check this works for them before confirming.

Working in English

Kay and the team work in English, which is the operating language of most regional conferences held here. Kay has worked backstage at Miss Cosmo International, Miss Grand Vietnam and Hoa Hậu Việt Nam, and on runway shows for Đỗ Long and Adrian Anh Tuấn, so running to a cue sheet is normal.
